At a glance
- A code is a name, a definition and a boundary. The boundary is the part that lets somebody else apply it.
- Every code carries six things: a name, a definition, when to use it, when not to, one example and one near-miss.
- The tree is two levels deep at most. A third level means a parent is doing two jobs.
- Test the book by handing it to a second coder with a tenth of the transcripts. Disagreement is information about the book, not about the coder.
- A code that changes leaves a memo behind it: what it was, what it is now, why, and what was re-coded.
What a codebook is for
A code is a label you put on a stretch of talk. Coding is the work of deciding which stretches get which labels, and it is the step where interview data becomes something you can count, compare and argue from. A codebook is the written rule for that step. Without one, the rule is in your head, it drifts as you read, and the code you applied on transcript three is not quite the code you applied on transcript twenty.
The test of a codebook is in the title of this lesson. Give it to somebody who did not do the interviews, with ten pages they have not seen, and ask them to code. If they land where you would land, the book is doing its job. If they do not, the book is missing something, and their disagreements tell you what.
The six parts of a code
- Name. Short, and a noun phrase about what the respondent is doing or describing, not about what you think of it. Turning to kin is a name. Vulnerability is a theme, and a theme is a finding you have not earned yet.
- Definition. One or two sentences that say what has to be in the passage for the code to apply. Write it so that a passage either meets it or does not.
- When to use it. The edge of the definition, spelled out: the cases that are close and inside.
- When not to use it. The cases that are close and outside, and which code they belong to instead. This is the line that stops two coders splitting.
- An example. A real excerpt from the data, anonymised, that is squarely inside.
- A near-miss. A real excerpt that looks as if it belongs and does not, with the reason. A near-miss is worth more than a second example, because the second example is where nobody was going to disagree anyway.
The tree
Codes sit in a tree: a parent that names a family, and children that name the members. Keep it to those two levels. A grandchild is nearly always a sign that a child was really two codes, or that the parent should be split. Two levels also keep the book readable on one page, which matters more than it sounds: a coder working through a transcript needs to hold the whole book in mind, and a book of sixty codes in four levels is not held in mind by anyone.
Decide, and write down, whether a parent is ever applied directly. The usual rule is that a parent with children is a heading and only children are applied. If a passage fits the family and none of the members, that is a new child, or a sign that the members are wrong.
Aim for somewhere between twelve and thirty codes across the whole book. Fewer and you are summarising; more and nobody can apply it.
| Code | Definition | Use when | Do not use when | Example | Near-miss |
|---|---|---|---|---|---|
| KIN. Turning to kin | Money or goods obtained after the flood from a relative, neighbour or friend, with no fixed interest. | The source is a personal tie and the terms are informal, even if repayment is expected. | A rate of interest is named, even when the lender is family. That is LENDER. | "My brother-in-law in Dhaka sent five thousand. I will give it back when the rice comes in." | "My uncle lends at ten per cent a month, like everybody else." LENDER: the terms are a moneylender's terms, whoever the person is. |
| LENDER. Turning to the moneylender | Money obtained after the flood from a person who lends at interest, or from anyone at a fixed rate. | A rate, a schedule or collateral is described. | The lender is a bank, a cooperative or a microfinance group. That is REFUSED or PRESSURE, depending on what happened. | "The mohajon gave twenty thousand at five taka per hundred each month." | "The samity gave a new loan at the usual rate." Not this code: a samity is an institution with rules, not a person trading in credit. |
| REFUSED. Refused or delayed by an institution | A bank, cooperative or microfinance group declined, postponed or cut a loan asked for after the flood, or the respondent did not ask because they expected refusal. | The respondent describes the request and the answer, or explains why they did not ask. | The loan came through and the complaint is about the instalment. That is PRESSURE. | "I went to the office twice. They said the branch had stopped new loans until the water went down." | "The loan came, but the instalment is due before the harvest." PRESSURE: nothing was refused. |
| PRESSURE. Repayment pressure | Strain from repaying any loan, old or new, after the flood: missed meals, a second loan to pay the first, a sale to meet an instalment, a collector at the door. | The strain is tied to a repayment. | Hardship with no debt in it. That is outside this book; note it in a memo. | "The weekly kisti did not stop because of the water. We ate one meal a day for a month." | "There was no work for a month, so we ate one meal a day." No code: the same hardship, with no loan behind it. |
| SELL. Selling instead of borrowing | Sale or pawning of an asset, such as livestock, land, jewellery or a boat, as an alternative to a loan. | The respondent links the sale to not borrowing, or describes choosing between the two. | The sale is to meet an instalment on a loan already taken. That is PRESSURE. | "I sold the goat rather than go to the mohajon. His interest eats you." | "I sold the goat to pay the kisti." PRESSURE: the sale serves a loan rather than replacing one. |
Agreement between coders
Take about a tenth of the transcripts. Two people code them independently, from the book alone, without talking. Then compare, passage by passage, and count: how often did both apply the same code, how often did one apply a code and the other did not, how often did they apply different codes. Simple percentage agreement is easy to read and flatters you, because two coders who both leave most passages uncoded agree on all of them. Cohen's kappa corrects for that, and a kappa under about 0.6 means the book is not finished rather than that the second coder is careless. Every disagreement is a row to fix: a definition sharpened, a near-miss added, or two codes that turned out to be one.
The memo that records a change
A code will change. A definition will turn out to be too wide on transcript nine, or a code with one instance will be folded into its neighbour. When that happens, write a short memo before you touch the book: the date, the code's name, the old definition, the new one, the passage that forced the change, quoted, and which transcripts have to be coded again under the new rule. Keep the memos in one file in order. That file is the audit trail your methods chapter will describe in a paragraph, and it is what lets an examiner see that the codes came out of the data rather than out of your first afternoon.
Where it goes wrong
- A code that is a theme. Resilience is a conclusion. Code what people said, then argue for the theme from the counts.
- A code that is your reading rather than their words. If two coders need to agree on the respondent's motive, they will not.
- Too many codes. Past thirty, merge.
- A code with one instance after all the transcripts. Either it is an outlier worth a memo, or it belongs in a neighbour.
- A parent and its child both applied to one passage. Decide the rule and write it at the top of the book.
- A definition changed and the earlier transcripts left as they were. That is two codebooks under one name.
- A book finished before the interviews started. Draft the tree from the questions, then expect the data to rewrite it.
Anonymise before an excerpt goes into the book. The book travels further than the transcripts: it goes to a second coder, into an appendix, and sometimes into print.
The field room's codebook is a tree with a definition on every code, and a code is applied to a transcript by selecting the words it covers.

| LENDER। |
| REFUSED। |
| PRESSURE।
